Shipping & Receiving Policies

1. Shipping & Receiving

MacDonald Awning & Shade Products offers three methods of shipping and receiving:

  • Pickup at MacDonald Awning
  • Shipping via third-party truck or rail
  • Delivery via MacDonald Awning truck or trailer

When an order is completed and ready, MacDonald Awning & Shade Products will send an invoice identifying the tag or PO.

2. Shipping/Receiving Hours

Monday to Friday

8:30 am – 12:00 pm

12:30 pm – 3:30 pm

MacDonald Awning requires 24 business hours notice for pickup or shipping and one week notice for delivery. If notice is not provided within these timeframes, MacDonald Awning & Shade Products cannot guarantee pickup, shipping, or delivery.

3. Pickup Policy

Packaging

  • Retractable Awnings, Recovers and Other Shade Products:
    • Wrapped in plastic bags for protection.
    • Mounting brackets, cranks, motorized controls and accessories packaged separately.
  • Fixed Frame Awnings:
    • Not packaged due to size and shape unless prior arrangements have been made and pricing quoted.
  • Aluminum Pan Awnings:
    • Wings/sides are removed and the awning is pre-packaged in cardboard as included in the quote.

Scheduling Pickup

Once notice of order completion is sent via invoice, please email or call the office at least 24 business hours before the requested pickup time. This allows MacDonald Awning & Shade Products to prepare orders and ensure a smooth pickup while minimizing production interruptions.

4. Delivery Policy

Packaging

  • Retractable Awnings, Recovers and Other Shade Products:
    • Wrapped in plastic bags for protection.
    • Mounting brackets, cranks, motorized controls and accessories packaged separately.
  • Fixed Frame Awnings:
    • Not packaged due to size and shape unless prior arrangements have been made and pricing quoted.
  • Aluminum Pan Awnings:
    • Wings/sides are removed and the awning is pre-packaged in cardboard as included in the quote.

Scheduling Delivery

Delivery costs must be quoted. Once notice of order completion is given via invoice, please email or call the office one week before the requested delivery date. A person must be present at the delivery location to assist with unloading orders.

5. Shipping Policy – Manitoulin Transport

5. A) Packaging

  • Retractable Awnings, Recovers and Other Shade Products:
    • Bagged in plastic with bubble wrap secured along connection points and packaged in an 8″ or 12″ diameter sonotube with a 1/4″ wall thickness. The ends are closed with wood or plastic plugs that are screwed into the walls of the sonotube.
    • Mounting brackets, cranks, motorized controls and accessories packaged separately.
    • Pricing for this is included on order confirmations when ‘SHIPPING’ is selected ($9.00/ft).
  • Crating is an additional option for anything packaged in sonotubes:
    • Up to 8ft wide — $249.00
    • Over 8ft to 16ft wide — $360.00
    • Over 16ft to 23ft wide — $471.00
  • Fixed Frame Awnings:
    • Must be crated due to size and shape.
      • Pricing for this is NOT included on order confirmations. The office will reach out once your order has been received to confirm crating costs.
  • Aluminum Pan Awnings:
    • Wings/sides are removed and the awning is pre-packaged in cardboard as included in the quote.

Once orders are completed, MacDonald Awning & Shade Products will send an email confirming orders ready to ship. The email will include:

  • Order tags ready for shipment
  • Shipment dimensions and weight
  • Two freight quotes from Manitoulin Transport:
    • Standard insurance ($2.00 per lb)
    • Additional insurance covering the full declared value

Dealers may select their preferred freight option. Once confirmation is received, MacDonald Awning will arrange pickup with Manitoulin Transport.

After pickup is scheduled, MacDonald Awning will provide:

  • Pickup Number
  • Pro Bill Number (Bill of Lading / BOL)
  • Freight invoice reflecting the approved quote and shipment details

5. B) Freight Damage Claims & Liability

If shipments are sent using MacDonald Awning’s Manitoulin account, MacDonald Awning will assist in submitting freight damage claims to Manitoulin Transport.

Insurance coverage is limited to the amount provided by the carrier based on the selected insurance option:

  • Standard Insurance: $2.00 per lb coverage
  • Additional Insurance: Coverage up to the declared value of the shipment

Credit Policy:

  • If standard insurance is selected → credit will be issued based on the $2.00/lb value
  • If additional insurance is selected → credit will be issued up to the wholesale value of the damaged product

Credits are subject to compliance with the Shipping Damage Notice requirements outlined below. We approve credits up to the applicable insurance limit, provided all damage reporting procedures are followed.

5. C) Receiving Guidelines: Shipping Damage Notice (Required for All Claims)

To be eligible for any credit or claim consideration, the following steps must be completed in full:

  1. Inspect the shipment immediately upon delivery
  2. Note any visible damage on the Bill of Lading (BOL) and take clear photos of packaging
  3. Open and inspect all packaging within 24 hours of receipt
  4. If product damage is found, take clear photos showing all damage
  5. Submit a Dealer Support Form via the MacDonald Awning website and provide full details and images
  6. Retain all damaged product and packaging until claim resolution is complete

5. D) Failure to Comply

Failure to follow any of the above steps will void all liability on the part of MacDonald Awning & Shade Products.

In such cases:

  • The outcome will be solely dependent on the carrier’s claim decision
  • If the carrier (e.g., Manitoulin) denies the claim, no credit will be issued

5. E) Additional Terms

  • MacDonald Awning ensures all products leave our facility in perfect condition
  • Responsibility for damage transfers to the carrier once the shipment leaves our facility
  • Rail shipments involve multiple handling points and carry a higher risk of damage
  • Additional insurance is strongly recommended

Packaging, freight, and labour related to installation of replacement parts are not the responsibility of MacDonald Awning and may be invoiced if applicable.

5. F) Shipping Using Other Transport Companies

If you are arranging your shipment through a carrier that is NOT Manitoulin Transport, you will need to provide us with the following:

  • Name of the shipping company
  • Pickup date and time (within our shipping hours)
  • Bill of Lading (BOL)
  • Shipping Label(s)

MacDonald Awning & Shade Products assumes no responsibility for damages when using other transport companies.

5. G) General Pricing & Insurance Information

Standard charges included in freight quotes:

  • Freight Rate – based on weight
  • Fuel Surcharge – floating rate
  • Oversized Freight Flat Rate – charged per shipment

Additional Costs (if applicable):

  • Appointment Delivery – $64.46
  • Call Prior to Delivery – $39.65
  • Carry-In Delivery/Pickup – $39.63 (min) to $351.90 (max)
  • Storage Fees – $44.83 per day

Insurance: Shipments are automatically insured for $2.00 per lb. Additional insurance is recommended.

Additional Insurance Formula: (Shipment value – ($2.00 × shipment weight)) × $0.033

5. H) Claim Procedure

For shipments sent on MacDonald Awning’s Manitoulin account:

  • MacDonald Awning will process the damage claim with Manitoulin

For shipments not sent on MacDonald Awning’s Manitoulin account:

  • MacDonald Awning assumes no responsibility for damages during shipping

Packaging, freight, and labour related to installation of replacement parts are not the responsibility of MacDonald Awning and may be invoiced if applicable.

MacDonald Awning & Shade Products reserves the right to change policies at any time and will communicate any changes in a timely manner.
